The following Privacy Policy document provides information on how we collect data and your privacy rights.

Authoring Software

You own the rights to exports.

We provide license-based authoring software that exports assets of different formats, whether they are documents, apps, ebooks, images, etc. You own the full rights to these exported files, as they will not be affiliated with us once exported, even if the authoring software license expires. They do not collect any data from your users. As for the function of these files, they may rely on our servers in order for them to function correctly, which is essential in the cases of Ministry of Culture Cloud and Ministry of Culture Library. In those cases, the validity of their function depends on your active subscription with Ministry of Culture. The pricing/purchase page will mention if such a format relies on our servers for them to function correctly.

Data

We collect but do not link personal and activity data.

We use technologies like cookies (small files stored by your browser), or unique device identifiers to identify your computer. Since most of our plans involve a user limit, it is important for us to identify unique machines accessing this license in order to control this user limit. For our efforts in continuously improving our system, information like your browser, operating system and IP address are being logged into our database. If you wish for this information not to be logged into our databases at all, you may send a request and we will immediately apply it to your account.

How do we collect information

We collect information from the Ministry of Culture registration page, only when you are registering for a new account.

What information do we collect

The simplest information required to create an account is an email address and name. Optionally, you may enter the following additional information, in return for premium support:

• Website
• Organization name
• Number of employees
• Description of usage

You are responsible for providing accurate and up-to-date information. If you choose to participate in our friend referral program, you acknowledge that you have your friend's consent to provide your friend's email to us.

How do we use your information

• To verify your identity.
• To contact you for notifications, tips, or general information. This may be disabled by you.
• To better understand the type of users interested in our products and services.
• By our internal team to study your background before providing you with tailored assistance.

Where do we store your information

Your information is stored on our secure servers based in London. Daily database backups are made on our Amazon-based servers.

GDPR Compliance

We are committed to complying with the General Data Protection Regulation (GDPR) to ensure the privacy and protection of our users' personal data. We collect and process personal data based on lawful grounds, including contract performance, legal obligations, consent, and legitimate interests. We are fully transparent about the data we have on record for our customers. As a user, you have the right to access your personal data, rectify any inaccuracies, restrict its processing, or delete everything we have on record for you. We implement security measures, transfer data responsibly, and retain it for the necessary duration. Third-party service providers also adhere to strict confidentiality and data protection obligations.

Location

We do not store or share your precise location.

We do not use or collect your precise geographic location.

Access

You can request to see your personal data.

You can sign into your account to see all personally identifiable information we have stored, such as your name, email, country, etc. This is accessible through Ministry of Culture Author, by clicking on your username at the top right, and then choose "Account Info". You can also contact us by email to request to see all the information we have on file for you and make any changes you need.

Deletion

You may delete everything we have on file for you.

Through Ministry of Culture Author, by clicking on your username at the top right and then choosing "Account Info" you may access the "Request deletion" button to request that your account and all linked information is deleted permanently from our servers. Since this is an undoable action, we will verify by email the authenticity of this request before proceeding.

Sharing

We don't share your personal data with other companies.

We generally do not share personally identifiable information (such as name, address, email or phone) with other companies.

Emails

We only send with your consent.

We maintain two separate email lists. One email list is for users who have registered for a Ministry of Culture license. This email list is used to send a short sequence of assistant emails to guide you at the start of using your license. You can choose to stop receiving those assistant emails by clicking on an "unsubscribe" link at the bottom of those emails.

The second email list is our newsletter subscriber list. They are used to send a periodical newsletter containing helpful tips, tutorials, articles, promotions, and latest developments, which may not be related directly to our platform, but to the digital publishing industry in general.

Although we make every effort to keep our newsletter as relevant to you as possible, you can easily opt-out of receiving such emails from us by unsubscribing at the bottom of any of the emails.

Vendors

Service providers access data on our behalf.

In order to serve you, we may share your personal and anonymous information with other companies, including vendors and contractors. Their use of information is limited to these purposes, and subject to agreements that require them to keep the information confidential. Our vendors provide assurance that they take reasonable steps to safeguard the data they hold on our behalf, although data security cannot be guaranteed.

Analytics companies may access anonymous data (such as your IP address or device ID) to help us understand how our services are used. They use this data solely on our behalf. They do not share it except in aggregate form; no data is shared with any individual user

We use MailerLite to manage our email marketing subscriber list and to send emails to our subscribers. MailerLite is a third-party provider, which may process your data using industry-standard technologies to help us monitor and improve our newsletter.

You can unsubscribe from our newsletter by clicking on the unsubscribe link provided at the end of each newsletter.

We use Freshworks (FreshDesk, FreshChat, and FreshSales) to manage technical support tickets and customer communication, respectively. FreshWorks is a third-party provider, which may process your data using industry-standard technologies to help us internally manage these two areas.
